use the video conferencing tool “Teams” to conduct webinars to overcome the physical distance to our associates and to create a pleasant, personal conversation atmosphere. This information informs you about the associated processing of your data and fulfil our obligations under existing data protection laws.

We have concluded a processing contract with “Teams” to ensure the secure processing of your data.

When using “Teams”, the following data is processed: 

Content data:

  • Content of Statements made
  • Sound and image recordings
  • Possibly surroundings (apartment, working space or other places of residence)
  • Graphical or textual chat messages
  • Display of one`s own screen in case of sharing

 Metadata regarding:

  • the realisation of communication (first and last name, e-mail address, profile picture)
  • professional contacts (participants)
  • call history (date, time and duration of communication)
  • name of the meeting
  • device /hardware data
  • connection data (phone number, name of country, time of commencement and end, IP addresses)
  • location data
  • support and feedback data

Depending on the participants following categories of individuals are affected by data processing,

  • Employees
  • Business partners
  • Webinar participants
  • Third parties (who are in the vicinity of the participating persons)

When participating in one of our webinars, you can decide individually whether to turn on your video camera and microphone to protect your privacy rights. We are happy to see our attendees, but in your own interest, we recommend that you use virtual backgrounds to minimise the volume of data and, if possible, participate in a separate room isolated from other people. If a recording of a conference takes place due to special circumstances, participants will be informed in advance and their consent will be obtained. When using the chat function, the entries you make will be processed at least for the duration of the webinar and may be visible to the other participants.

The legal basis for the use of video conferencing tools for operational communication is Art. 6 (1) sentence 1 b) of the GDPR.

Regarding commercial communication, the data processing is either also carried out to fullfil an existing contractual relationship or to carry out pre-contractual measures based on a request Art. 6 (1) sentence 1 b) GDPR. Furthermore, the processing of your data corresponds to our legitimate interest in maintaining independent communication and maintaining business contacts according to Art. 6 (1) sentence 1 f) GDPR. 

If the conference is recorded due to special circumstances of the individual case, the associated data processing is based on your express consent according to Art. 6 (1) sentence 1 a) GDPR. The same applies to your voluntary entries in “Teams” or the use of functions that are not mandatory for participation in webinars. 

Where possible, data processing takes place within the European Union or in a member state of the European Economic Area. If, by way of derogation, data is transferred to so-called third countries, we have taken the necessary measures in accordance with Art. 44 of the GDPR to ensure the security of your data. In the present case, we have therefore concluded standard-contractual-clauses with the above-mentioned service providers. 

Your data will be stored for the duration of the video conference and will be deleted immediately after the end of the conference. 

In accordance with Art. 15 ff. of the GDPR you have the right of access to your personal data, 

  • to rectification of your data, 
  • to deletion of your data if the legal requirements are met, 
  • to restriction of the processing of your data, 
  • to object if the data processing is due to our legitimate interest, 
  • to withdraw your consent.
